The back office for coaches

Run your team from the back office: take the register, keep player records and assessments up to date, set the formation and talk to families. You see only your own team.

01Your academy admin creates your account.

  1. Open the back office

Use the button at the top of this guide and sign in with the email and password your academy admin gave you.

  2. Find your way

The menu is grouped into Squad, Progress, Academy and Scouting. Everything is already filtered to your team.

  3. Notifications

The bell shows finished imports and exports, with their download links.

02Mark everyone present, then change the exceptions.

Take the register

  1. Create the session

Squad → Training → New. Pick the team, the date and time (local time), and a title or location if useful.

  2. Start the register

Open the session and choose “Take register”. The whole squad is marked present.

  3. Fix the exceptions

Use “Absent” or “Excused” on each player who wasn't there. Add a note where it helps.

  4. Catch up

On the Training list, the “Register not taken” filter shows sessions still waiting.

Parents see each mark in the portal, and the attendance percentage can appear on the public profile.

03One record feeds the public profile, the scout desk and the portal.

Keep player records

  1. Open a player

Squad → Players, then edit the player.

  2. Identity

Position, shirt number (must be free in the team), status, joining date and bio.

  3. Scouting

Preferred foot and development notes — write the notes for a scout reading the dossier: strengths and what they're working on.

  4. Visibility

For each field choose Public, Scout or Private, or leave the default. This decides who sees what.

  5. Private: medical and emergency

Only staff and the player's own guardian ever see this section.

04Tabs on the player's page.

Record progress

  1. Assessments

“Record assessment”: date tested, height, weight, 30 m sprint, agility, endurance and skill rating. Each one adds to the timeline — the public sees the latest, scouts see the history.

  2. Season stats

“Add season”: appearances, starts, minutes, goals, assists, clean sheets and cards.

  3. Football history

“Add club” for previous clubs or schools, with dates.

  4. Awards

“Add achievement” for awards and recognition.

  5. Documents

“Upload document” for a PDF or photo up to 10 MB. Never public.

05YouTube links only.

Add highlight clips

  1. Add a clip

Progress → Highlights → New, or “Add clip” on the player's page.

  2. Paste the link

Any YouTube video link works. Channel and playlist links are rejected. Tick “Vertical (Shorts)” for 9:16 clips.

  3. Choose the audience

Public, or Scouts only (shown in scout dossiers and the family portal, never on the public profile).

  4. Publishing

An academy admin reviews and publishes footage before it goes public.

06A drag-and-drop tactical board.

Set the formation

  1. Start a lineup

Squad → Formations → “Arrange a team”, then pick the team.

  2. Arrange the board

Choose a formation to lay out positions, then drag players onto the pitch.

  3. Team default

Tick “Use as the team default” to make this the shape on the public squad screen. Only one lineup per team holds it.

  4. Match-day record

Pick a training session to record what was used that day, then fill “How it went” — outcome, goals for and against, notes.

07They appear in the parent portal.

Send notices to families

  1. Write it

Academy → Announcements → New. Give it a title and the message.

  2. Choose who gets it

Under “Which families”, choose your team.

  3. Publish or schedule

Set “Publish at” to now, or a future time to schedule it. Leave it empty to keep a draft.

  4. Pin it

“Pin to the top” for anything every parent must see, like a changed venue.

08Requests that involve your team.

Applications & scout questions

  1. Enrolments

Academy → Enrollments lists applications for your team, so you can read them before an admin decides.

  2. Scout questions

Scouting → Scout questions shows questions about your players. Open one, write the reply and set its status — the scout sees it under “My requests”.

09Bulk export and import.

Work in spreadsheets

  1. Export

The Players list has Export buttons. The file arrives in the bell notifications.

  2. Import

Use Import on the same list. Any failed rows are reported back in notifications.
